About Company

Sólar is an Icelandic cleaning company with 500 employees working in the field and approximately 30 people in administration. The company provides professional cleaning services for businesses, institutions and shared residential spaces, primarily in the Reykjavík area but also across the country.

While the majority of employees work on-site with customers, the administrative team plays a key role in coordinating operations, managing client relationships and ensuring consistent service quality.

Many of these employees are frequently on the move visiting sites, meeting teams and handling day-to-day coordination across locations.

Challenges before Ziik

A familiar challenge: Too much noise, too little clarity

Before joining Solar, Stefania Ragnarsdóttir had worked with a range of internal communication tools, including Workplace by Meta, which has since been discontinued, as well as Microsoft-based solutions. From that experience, she knew how quickly platforms could become noisy and difficult to navigate.

“It’s not that they don’t work,” she explains. “But there can be a lot of things going on, and not all of them are necessary.”

Important information can easily get lost in emails or buried across different systems, especially for employees who are not sitting at a desk all day.

Requirements for a new solution

A tool that fits how people actually work

At Sólar, Ziik is used by the administrative team of around 30 people working in the office and in the field. A large part of that group consists of service managers who spend much of their time away from their desks.

“They’re busy bees,” Stefania Ragnarsdóttir explains. “They’re not sitting in front of a computer all day.”

In that context, communication needs to be simple, accessible and easy to pick up in between tasks. And that’s where Ziik fits naturally into the workflow.

Results

Simple, intuitive, and clean

One of the first things Stefania Ragnarsdóttir noticed when she began working with Ziik at Sólar was how straightforward the platform felt.

“You have what you need, and you don’t have to go looking for it,” she says. “And if it’s not there, you know it doesn't exist.”

Coming from more complex systems, that simplicity makes Ziik stand out.

“It’s not that it’s too simple, it’s just that it’s not filled with things you don’t need. It feels clean.”

From her perspective as an IT professional, that’s a strength: “You don’t have to be very tech-savvy to use Ziik. You can be a regular person and still use it as a tool.”

Keeping everyone in the loop wherever they are 

In daily use, Ziik functions as a shared communication space for the administrative team. 

Announcements, updates and everyday coordination all happen in one place, making it easier to stay informed, even when people are moving between locations.

Stefania Ragnarsdóttir prefers using the desktop version of Ziik, and to make sure she misses nothing at her desk at Sólar HQ, she has set up notifications in a way that fits her own workflow. 

“I get an e-mail when something is posted,” she says. “It’s like a nudge: Here’s something you should check out.”

This flexible combination of desktop and mobile access along with custom notifications makes it easier for all employees, regardless of functions and preferences, to stay connected without having to actively check multiple systems.

A small detail with a big impact on culture 

Beyond practical communication, Ziik has also become a space for sharing recognition for good work. Whenever a customer sends positive feedback, it’s shared on the platform.

“If someone gets a compliment, we make sure everyone knows,” Stefania Ragnarsdóttir says.

Praise doesn’t just matter for the individual: “It’s not only a boost for the person who gets the compliment, it really boosts morale for everyone.”

The same goes for everyday moments like birthdays, small updates, or just keeping people informed about what’s happening in the office.

 “I’ve never seen anything negative there,” she adds. “It’s everyday communication, but it’s a good booster. A mood booster!”

Relevant communication for the right people 

Another important part of how Sólar uses Ziik is keeping communication targeted to the right recipients. With different roles and responsibilities across the team, not everything needs to be shared with everyone. Using groups, it’s easy to direct messages to the people they’re relevant for.

“If I’m posting something, I can choose whether it’s for everyone or just my department,” Stefania Ragnarsdóttir explains.

That helps keep communication focused, and it avoids unnecessary noise.

The chat function is at the centre of daily use, from practical announcements to sharing positive feedback.

“It’s where everything happens: updates, messages, and also the good stories,” Stefania Ragnarsdóttir says.

Flexible notifications 

Being able to receive email notifications ensures nothing is missed, even during busy days with multiple tasks and tabs open.

“It gives me a little nudge that something is happening,” Stefania Ragnarsdóttir explains.

Groups for relevant communication

Groups make it easy to tailor communication to specific teams or departments.

“You can choose who should see what, and that’s really useful, because it helps reduce noise and information overload,” Stefania Ragnarsdóttir says.

Events and polls

Features like events and polls are used to coordinate and gather input from the team.

“It’s something we use quite a lot,” Stefania Ragnarsdóttir observes.

“You have what you need, and you don’t have to go looking for it. And you don’t have to be very tech-savvy either, you can be a regular person and still use Ziik as a useful tool.”
