With over a dozen locations, the company offers high-quality treatments in skincare, lashes, nails, and more, supported by a strong brand identity and a growing team of specialists. From the start, Blue Lagoon has been about professionalism and personality, and that includes the way they work behind the scenes.

Challenges before Ziik?

A scattered communication setup became a major headache

Blue Lagoon has enjoyed constant growth since opening its first clinics. But as the team grew, so did the complexity of internal communication. Sini Virtanen recalls “We were using Slack for messaging, Google Drive for documents, and email for official stuff. But none of it was really working anymore. Things got lost and new people didn’t know where to start". And because Slack wasn’t really made for frontline teams, many employees just didn’t use it. That meant important messages didn’t reach everyone, and knowledge got stuck in silos.

“It became clear to us that we needed to centralise everything, and to make it available to our colleagues in one place and in a way that made sense to them. Our employees wanted clear communication and an easy way to find answers. So we went looking for a tool that could give us just that" explains Sini.

Before Ziik, messages often went unseen or unread, especially on Slack. But that changed almost immediately after the rollout of Ziik. “The biggest surprise has been how much people actually use it,” says Sini. “They check it daily, they read what’s there, and they find it helpful. I don’t have to push them, it’s just become part of their routine.”

And because Ziik makes it easy to share updates, manuals, and answers in one place, overall engagement is at an amazing 97%, while questions for Sini and other managers have been reduced. “When people can easily find the answers they need, they don't have to spend time asking“ says Sini.

Stronger onboarding

When new employees join, their first days set the tone, and Ziik now plays a big part in getting them settled. “We’ve created manuals for different roles and situations. So when someone starts, they can go into Ziik and get a full overview of how we work, what’s expected, and where to find help” Sini explains. It saves time for both new hires and their managers, and ensures that the onboarding experience is consistent across locations.

Fewer mistakes, faster answers

Ziik's built-in manuals, FAQs, and search functions have made it much easier to handle recurring questions without flooding chat channels. “I love the FAQ! Let’s say someone needs to check how to handle a client situation, or where to find a specific policy, they don’t need to ask around anymore. They just search for it in Ziik” Sini exclaims. This not only reduces interruptions but helps employees feel more independent and capable in their work.

Cleaner communication

By moving away from Slack, WhatsApp, and email threads, Blue Lagoon now communicates with purpose and less noise. As Sini Virtinanen explains: “It’s been a huge relief, honestly. With Slack, things could get lost. Now, with Ziik, people only see what’s relevant to them. They can trust that the information they receive is information they need and want to see.” Every post has a clear audience, every document a clear home, and read receipts confirm that the message has been received.

A stronger sense of connection

Perhaps most importantly, Ziik has become part of the culture in Blue Lagoon Beauty, helping teams feel aligned and connected, even when they’re not physically together. “I think people feel more secure and connected now. They always know what’s going on, they know where to find things, and they’re not left guessing. That builds confidence, and that shows up in how they work with clients too” says Sini Virtanen.
